Office cleaning is contracted cleaning of a commercial workspace, normally carried out outside working hours. It covers desks and touch points, washrooms, kitchens and breakout areas, floors and waste, with periodic deeper work on carpets, windows and high level surfaces.
Unlike domestic cleaning it is partly a legal obligation. Under the Workplace (Health, Safety and Welfare) Regulations 1992, employers in Great Britain must keep workplaces and the furniture and fittings in them sufficiently clean, remove waste appropriately, and provide suitable washing facilities.
We quote against a written specification with the hours allocated against each section. A price with no specification is a number you cannot compare with anything, and it is the single most common reason cleaning contracts go wrong in month five.

We supply site-specific RAMS, COSHH assessments and safety data sheets before the first visit, along with public liability and employers liability certificates. If you are changing contractor, raise TUPE at the start: if existing cleaners are assigned to your site the regulations may require us to take them on at their existing terms, and that materially affects the price.

How a contract is set up
A site visit before a price
Washroom count, flooring type, kitchen use, access and security all determine the hours, and none of them are visible from a floor area. A contractor who quotes without visiting has priced an average building.
A written specification with hours against it
Every task, its frequency, and the hours allocated. If the daily list takes two hours and the contract funds one, the list will not be completed and nobody will have agreed which half gets dropped. It will be the half nobody sees.
Touch points named individually
Door handles, push plates, light switches, lift buttons, handrails, kitchen taps, shared keyboards and printer panels. Named individually they get done; written as touch points they get interpreted.
Detergent first, then disinfectant, left wet
Disinfectant on a soiled surface achieves very little, and sprayed then immediately wiped it achieves almost nothing. The contact time on the label is how long the surface has to stay visibly wet, and it is the most commonly mis-executed task in commercial cleaning.
A monthly walk-round, logged
Ten minutes a month against the specification, dated, with a named person each side. Contracts that are reviewed stay good. Contracts nobody reviews decline slowly, and by the time anyone says anything the relationship is past saving.
When to book it
Allow four to six weeks between first contact and the first clean if you are changing contractor, because TUPE consultation, key handover and site induction all take real time. Starting a contract badly is expensive to correct.

What goes wrong, and how to avoid it
The mistakes below account for most of the disappointment in this kind of work, ours included. Several of them will save you money whether you hire us or not.
Comparing prices instead of hours
Two cleaners for one hour is not the same as one cleaner for two hours, and neither may be the ninety minutes the building needs. A quote without a specification and an hours allocation cannot be compared with anything.
Leaving TUPE until after award
If existing cleaners are assigned to your site the regulations may require the incoming contractor to take them on at existing terms. A bidder who has not asked about it has probably not priced it, and that becomes your problem and your price increase.
Buying desk cleaning without a clear desk policy
If staff leave papers and equipment out, the desks will not be wiped, and no contractor can fix that from their side.
Never scheduling the periodic work
Carpets, hard floor machine work, high level dusting and windows are almost never in the recurring price. Scheduled and priced at contract stage they happen; requested ad hoc they cost more and usually never happen at all, and the building quietly degrades over two or three years until you are replacing rather than maintaining.
Making yourself the quality control
If the only monitoring is you noticing things and complaining, standards drift, because they always do. Ask what the contractor's own audit looks like.

Do you supply the consumables?
We can, and it is usually more reliable because we see the stock levels. Either way it gets agreed explicitly, along with who to call when the soap runs out at nine in the morning.
Will you provide RAMS?
Yes, site-specific rather than a template with your name pasted in, referencing your own fire procedure and access arrangements. Many landlords and managing agents will not permit access without them.
What happens if the cleaner does not turn up?
We tell you proactively and send cover. Ask any contractor this before you sign, because one who says it never happens is not answering the question.
Can you clean during office hours?
Yes, and it has become more common with hybrid working. It costs more, because daytime hours attract higher rates and the work is slower around occupants.
Do you clean salons, clinics and surgeries?
Yes, with colour-coded equipment, enforced contact times and signed cleaning schedules. Those settings are a different discipline from office cleaning and we specify them separately.
