What we collect, and when
We collect personal data in two situations. The first is when you send us a quote request through a form on this site. The second is when you become a customer.
From the quote form
The form asks for your name, phone number, postcode, the service you are interested in, and, on the longer form, your email address and anything else you choose to tell us. That is all it collects. There is no hidden field, no tracking pixel and no profiling.
If you become a customer
We will hold your full address, access arrangements such as a key safe code, your visit schedule, and a record of payments. We hold this because we cannot clean a property without knowing where it is and how to get in.
Why we are allowed to hold it
For a quote request, our lawful basis is Article 6(1)(b) of the UK GDPR: taking steps at your request before entering into a contract. Asking us for a price is that request, so we do not ask you to tick a consent box for something you have just actively asked us to do. We use those details to answer your enquiry and for nothing else. Ask us to delete it at any point and we will.
For customers, our lawful basis is performance of a contract. We also keep invoices and payment records to meet our legal obligations to HMRC, which is a legal obligation basis.
How long we keep it
- Quote requests that do not become bookings: deleted within 12 months.
- Customer records: kept for the duration of the arrangement and for 12 months afterwards.
- Access details such as key safe codes: deleted immediately when the arrangement ends.
- Invoices and payment records: kept for six years, which is what HMRC requires.
Who we share it with
Nobody, other than the cleaner attending your property, who needs your address and access details in order to do the work. We do not sell data, we do not share it with marketing companies, and we do not pass it to third parties for their own purposes.
Our website is hosted by Vercel, which processes server logs including IP addresses as part of delivering the site. If we later add a form-handling service to receive enquiries, it will be named here.
Your rights
Under UK GDPR you have the right to ask us for a copy of your data, to correct it, to have it deleted, to restrict how we use it, to object to our using it, and to receive it in a portable format. Email goldenheartcleanings@gmail.com and we will respond within one month.
If you are not satisfied with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
